Guest Pre-Arrival Information

Greetings from the Outer Banks!

As your Outer Banks vacation approaches, we hope that you will find the below pre-arrival reminders helpful. Please feel free to contact us if you have any questions regarding your stay.

Check-In/Check-Out Locations

The office location that you will be checking into is printed at the top of your Vacation Rental Agreement and Balance Due Reminder.

  • Duck office check-ins: Cottage number prefixes A-I
  • Corolla office check-ins: Cottage number prefixes J-V

Directions

Directions to our offices are posted on the Find Us section of our website. You will also find a directional map to your cottage from our offices on the Community Information page of our website. Click the link with “Maps” in the text under whichever area you are staying in to get to the directional map of your community.

Check-In Time

Check-in time is 4:00 pm until closing, unless you have made prior arrangements for Early Check-In. A limited number of 1:00 pm check-ins are available and requests must be approved by phone and paid for in advance of arrival. We cannot offer this service for certain homes, including those with seven or more bedrooms, or when owners occupy the preceding week. If another member of your group will be arriving first, they are welcome to pick up the keys. They will be asked to provide the front desk with the name of the leaseholder and the number of the property in which you are staying.

Late Arrivals

It is not necessary to call our office if you will be arriving after-hours. Your check-in packet with keys and a map to the home will be left in the After-Hours Exchange box if your balance is paid in full and we have your signed lease. These boxes are located beside each office’s main entrance door.

Check-Out Time

Check-out time is 10:00 am for all homes without exception. Keys should be returned to your check-in office by 10:00 am. Each office has an After-Hours Exchange box for early departures. Guests departing keyless entry homes do not need to come to our office for check-out. Departure instructions can be found in the Guest Directory provided to each guest upon arrival.

Parking

The number of parking spaces available is listed in the description of most properties. There is no municipal or street parking in most areas - towing is enforced. There is limited space available for guests to park two-wheel drive vehicles while vacationing in the 4x4 area. Please plan accordingly. Daily parking may be available in Corolla for a fee. Please be aware that boats, trailers, recreational vehicles, utility vehicles and trucks weighing over 1 ton are not permitted in the communities.

Cottage Telephone

The cottage telephone number is included on your Reservation Confirmation and Balance Due Reminder Notices. Homes are equipped with telephones for local calls only. All homes (unless otherwise advertised) have a long distance block. Options for placing long distance calls include calling cards, pre-paid phone cards, credit cards and collect calls. Any unauthorized long distance calls charged to the home telephone will be billed to the responsible party.

Linens and Towels

Bed linens and bath towels are provided for reservations of 7 days or more (except for Twiddy Traditional Homes). Homes designated with a "T" at the end of the property name are Traditional Homes. Linens are provided for each advertised bed, futon, rollaway and sleep sofa. No linens are provided for cribs, portacribs or Pack N’ Plays. Beds (except trundles, top bunks, futons, rollaways and sleep sofas) are made the day of your arrival. Each home provides one bath towel, one hand towel and one washcloth for the advertised maximum occupancy, one bath mat for each full bathroom and two kitchen towels. Extra bath towel sets are available for an additional fee. Contact us for more information.

If you are staying for more than one week, a mid-stay clean and linen service are complimentary, but must be requested in advance. Please contact our office as soon as possible if you would like to make arrangements.

For Twiddy Traditional Homes, bed linens and bath towels are not provided as a standard amenity. Guests may rent a linen and towel package for the whole home through Twiddy, or rent individual sets of linens and towels from Beach Detail (1-800-206-2976 or www.beachdetail.com).

Housekeeping and Maintenance

All homes are cleaned between check-out and check-in. If the home is not cleaned to your satisfaction or if something is not working properly, please call our office to report the problem immediately. Each week homes are inspected for supplies and maintenance needs; however, breakdowns can and do occur. Please contact us if you experience any sort of maintenance problem during your stay.

Pools and Hot Tubs

Private pools are available from the weekend of May 1st through the weekend of October 25th, 2009 (unless otherwise specified). Pools are cleaned and serviced the day of your arrival. A mid-week service includes chemical and mechanical checks, but does not include vacuuming. Guests will be charged for additional cleanings required due to misuse. Some homes offer the option of having the pool heated. Availability dates and charges vary for heated pools; see individual property descriptions for details. Please contact our office prior to your arrival to make arrangements for this amenity. Please note that an additional $50 plus tax fee will be charged when this service is ordered at check-in or during your stay.

Hot tubs are available year-round. They are cleaned and serviced the day of your arrival. A mid-week check includes chemical and mechanical checks but does not include vacuuming. Guests will be charged for additional cleanings required due to misuse. Homes not equipped with hot tubs do not allow rentals of hot tubs or soft spas by guests due to possible electrical and/or structural problems.

Mail and Messages

Mail is not delivered to rental homes. Items may be sent to you for pick-up at our office. Please have the sender include your name and the cottage number so that we may attempt to notify you of arrivals. Faxes may be sent or received during regular business hours for a fee of $1 per page. Our fax number is 800-869-5854.
